Overview
Shared views let you create a customized, read-only snapshot of your Data Dictionary — filtered to specific fields and columns — that you can distribute to anyone in the business. Because shared views are live, they always reflect the most current data in your dictionary without any manual updates required.
Applies to: Arovy Data Dictionary | Feature: Saved Views & Shared Links
Prerequisites
- Access to the Arovy Data Dictionary
- A maintained Data Dictionary with documented fields
- Permission to create and save views
Estimated Time
~5 minutes
Step-by-Step Instructions
Step 1: Configure Your Columns
- Open the Data Dictionary and navigate to the object or field list you want to share.
-
Click Columns in the top-right toolbar.
- Select the columns you want to display. For a documentation-focused view, consider enabling:
- Description
- Definition
- Help Text
- Notes
- Reorder columns by dragging them into your preferred sequence.
- Hide any columns you don't want viewers to see by clicking the hide (eye) icon next to each one. This removes technical metadata that may not be relevant to your audience.
- Click Update to apply your column configuration.
Step 2: Apply a Filter
- Click Filters in the top-right toolbar.
-
Add a filter to narrow the view to the fields most relevant to your audience. For example, filter by a specific tag such as Finance to show only finance-related fields.
- Click Update. The field list now reflects only the filtered results.
Step 3: Save the View
- Once your columns and filters are configured, click Create / Save New View at the top of the page.
- Enter a descriptive name for the view — for example, Financial Reporting Documentation.
- Click + (Add) to save the view. It will appear in your saved views list and persist with the column and filter settings you configured.
Step 4: Share the View
- Locate your saved view in the list and hover over it to reveal the link icon.
-
Click the link icon to generate a shareable URL.
- Click Copy Link. The URL is now on your clipboard and ready to share via email, Slack, or any internal channel.
- Recipients who open the link will see a read-only view of the Data Dictionary, filtered and formatted exactly as you configured it — and always populated with the latest values from your maintained dictionary.
Expected Results
After completing these steps:
- A named saved view exists in your Data Dictionary with your configured columns and filters
- The view is accessible via a shareable link that requires no login to view (read-only)
- The view updates automatically whenever the underlying Data Dictionary is edited — no manual refreshes or re-sharing required
Troubleshooting
| Problem | Likely Cause | Solution |
|---|---|---|
| Link icon not visible on saved view | View may not have saved successfully | Refresh the page and confirm the view appears in your saved views list before trying again |
| Shared link shows all columns, not just selected ones | Column settings were not applied before saving | Edit the view, re-apply column preferences, and re-save |
| Filtered fields not appearing in the shared view | Filter was set after saving the view | Delete and recreate the view with the filter applied first, then save |
| Recipients see outdated field values | Browser caching on the recipient's end | Ask recipients to hard-refresh the page (Ctrl+Shift+R / Cmd+Shift+R) |
| Saved view is missing after navigating away | View was not confirmed with the + button | Re-configure and ensure you click + to finalize the save |
